JOB OVERVIEW:

The Facilities Coordinator will support the club staff and Facilities teams in coordination of repairs and maintenance.  Primary tasks will be to coordinate all fitness equipment repairs, including parts orders, invoicing, and assisting Senior Facilities Manager with information management including administration of work order management system, ServiceChannel.  Position will report to Senior Facilities Manager.

Responsibilities

  • Route work orders to appropriate vendors through ServiceChannel or by email/phone if necessary
  • Follow up on aging work orders that have not been resolved to ensure quick resolution
  • Respond to budget requirements as needed by careful monitoring which work orders are assigned to vendors
  • Use ServiceChannel reporting to review fitness equipment repairs in weekly team meeting
  • Order parts required for fitness equipment by reviewing submitted photos and parts diagrams
  • Follow up on parts orders to ensure they have been received and installed
  • Code invoices and submit them to the accounts payable team
  • Keep in-club certificate and permit binders up to date with required information per code
  • Data entry of fitness equipment serial numbers for new clubs into ServiceChannel
  • Work with Facilities Field team to track stock of parts needed for repairs and order parts as needed
  • Keep ServiceChannel information up to date as location information changes
